The in-store experience depends on IT too
In modern retail, technology is part of the buying experience rather than a detail behind the scenes. A slow till creates queues and impatient customers; a reader that will not read blocks the line; WiFi that does not work spoils product searches and loyalty apps. When these tools work well they become invisible; when they jam, the customer notices immediately — and sometimes does not come back. That is why we treat a shop’s infrastructure with the same care we would give a production line: it has to work throughout opening hours, without exception.
One customer, several channels: the data has to join up
Retail today lives across several channels at once: the physical shop, e-commerce, loyalty schemes, social. The problem arises when these channels do not talk — online stock out of step with the shop’s, a customer record that differs between till and website, promotions that do not match. Integrating the systems (till, e-commerce, retail system, loyalty) gives the business a single view of both customer and stock, with dashboards showing how sales are really going. And because all of these systems handle personal data, GDPR compliance and the security of customer data are designed alongside the integration rather than added afterwards.
If the till stops, the takings stop
In retail, downtime has an immediate cost that cannot be recovered: a customer who leaves the queue does not come back in the afternoon. That changes two things compared with an office.
Time to pick up the case matters more than the perfect fix. Somebody has to answer straight away, and there has to be a way of continuing to sell while the fault is resolved — a written emergency procedure, rehearsed, that the staff know.
A shop has to be able to work on its own. If the till depends entirely on a connection to head office or a cloud service, a line fault becomes a closed shop. How far each shop can run independently, and for how long, is decided at design time.
Several shops: where the problems start
Once there are two or three shops, the difficulty is not inside the shops: it is keeping them aligned. Product records, prices, promotions and stock levels have to be the same everywhere, and the moment they drift apart is the moment somebody made a local change “just for today”.
The arrangement that lasts has a single place where data is changed and everywhere else receiving it. It sounds obvious and it is rare, because at the start each shop grew on its own.
Customer WiFi is not the shop’s network
This is the most common mistake and the easiest to correct. The network customers use and the one carrying tills, the retail system and CCTV must be separate. It is not a theoretical precaution: any device connected to the public WiFi must not be able to see the till system.
Alongside the separation there is a point about payments: payment terminals have their own requirements and belong on a dedicated network path. That constraint comes from the card scheme rather than from us, and it applies regardless.
What we find in shops
- The till computer also used for email and browsing, which is the most direct way of bringing a problem to where it does most damage.
- A single shared login, so no way of knowing who processed a refund.
- The till and the retail system that do not talk, with somebody rekeying the figures every evening.
- CCTV on the same network as everything else, often still using the manufacturer’s default password.
- The retail system’s backup on the same computer, which disappears along with the computer.
