In hospitality, technology is noticed only when it fails
Slow WiFi in a room, a booking engine nobody can reach, a till frozen during service: in hospitality, IT problems turn immediately into bad reviews and lost revenue. Xion IT Group works with hotels, restaurants and accommodation businesses to make technology invisible — because it works.
What we do for hospitality
- Professional guest WiFi — full coverage, guaranteed bandwidth and a network separate from internal systems (network management);
- PMS, booking engine and channel manager — booking systems monitored and supported (XION MSP);
- Tills and order systems — till point, floor and kitchen connected and supported during service hours;
- GDPR for guests — documents, payments and preferences handled correctly (GDPR);
- Security and backup — data protection and continuity, high season included (IT security, XRB);
- Telephony — communications between reception, rooms and departments;
- Automation — confirmations, recurring requests and guest communications.
Where to start
A visit to the property: WiFi coverage, network, booking systems, backup and how guest data is handled. The resulting plan respects both your season and your service hours.
Guest WiFi is a verdict, not a detail
In hospitality the connection has become part of the stay: a guest judges the WiFi the way they judge breakfast, and writes about it in reviews. But guest WiFi hides a risk many properties overlook: if it shares the network with the property management system, the tills and internal systems, one guest’s infected device can become a threat to the whole business. The answer is a network designed in tiers — a guest network that is fast and completely separate from the operational one, with legally compliant access. The guest browses well and the property stays protected: two aims that look like they conflict and that good design reconciles.
Bookings and guest data: continuity and confidentiality
The booking system is the commercial heart of an accommodation business: PMS, booking engine, channel manager. A stoppage does not mean inconvenience, it means rooms that go unsold and guests who cannot book. That is why critical systems have to be monitored and designed with emergency procedures. In parallel, the property handles particularly sensitive data — identity documents, payment cards, preferences, the guest registration Italian law requires — which demands attention to GDPR and to security. Xion handles both sides: the continuity that keeps the property open and the data protection that keeps guests safe.
The system never closes, and maintenance has no window
In an office you update in the evening. In an accommodation business the evening is the worst possible moment: that is check-in, service, cashing up. And the night is not free either, because some guests arrive late and others leave at dawn.
The practical consequence is that maintenance has to be agreed with management and tied to the season rather than to the IT calendar. In a mountain property the right window is May; on the lakes it is November. A supplier who updates when it suits them will, sooner or later, do it on a full weekend.
Guest WiFi is a service, and should be designed as one
It is the first thing guests judge and the first thing they complain about in reviews, which makes it a commercial problem before it is a technical one.
Three recurring mistakes. Covering with power instead of density: rooms have walls, and raising the power of a few access points does not solve it, it adds interference. Not separating guests from the business: from the same network guests browse on, it must not be possible to see the property management system, the tills or the cameras. Not planning for the peak: a family today brings six devices, and a full property has far more than it was sized for years ago.
Alongside the separation there is a legal aspect: guest identification and the data retention that follows have to be handled in an orderly way, not with a sheet of paper at reception.
What we find in properties
- The reception computer used for everything, from email to the property management system to bookings on the portals.
- A single login shared between shifts, so no way of knowing who changed a booking or cancelled a charge.
- The property management system on the reception computer, with no copy anywhere else.
- Guest WiFi and the property network on the same line, with no separation.
- Booking portal credentials in a spreadsheet, shared, never changed when somebody leaves. That is a direct financial risk, because payments run through those portals.
